Year 2000 Wire/Reynolds Announces Unique Automotive Retailing Solution for Electronic Document Management
DAYTON, Ohio--Feb. 8, 1999--The latest, most sophisticated release of The Reynolds and Reynolds Company's Document Management System is now available to all automotive retailers using Reynolds' ERA2 information management system. DocVantage(TM), release 5.0, is designed to streamline all dealership filing, storage and retrieval needs.DocVantage solutions are fully integrated with the ERA2 system, automating the storage and retrieval of nearly every document in a dealership - forms, reports, even handwritten notes and drawings. DocVantage lets the dealership capture these documents electronically and store them in a secure central repository where they're immediately accessible to authorized personnel.
"Although it's not always obvious, managing documents can be one of the most significant - and fastest growing - costs a dealership incurs," said Tom Suttmiller, senior vice president and general manager, Automotive Products and Fixed Services Group. "DocVantage can improve a dealership's bottom line by cutting costs, improving efficiency and enhancing the professionalism of the dealership."
DocVantage provides a full range of scalable solutions, including a new Business Office Solution. There are now three levels of DocVantage systems, giving a dealership more options for making a smooth transition to electronic document management. A dealership can begin with a basic solution targeted specifically to the needs of the business office, or take a more comprehensive approach that will have everyone in the dealership operating more efficiently.
The new Business Office Solution is the ideal way to introduce electronic document management to a dealership. This fundamental solution gives a dealership the ability to store, print and outbound fax ERA2-generated documents used in the business office, such as payroll checks, journals and accounts receivable statements. And, the system can grow as a dealership's needs grow.
The next level, a Fixed Operations Solution, includes all of the business office capabilities plus support for parts and service documents. A Total Dealership Solution streamlines document management throughout the dealership and adds the capability to scan in documents and receive inbound faxes.
DocVantage includes a unique new document bar coding option. This much-anticipated feature is the first of its kind in document management systems for the automotive industry. It allows users to add bar codes when an original ERA2 document is printed. If the document is later scanned, in order to capture a customer signature, for example, the bar code automatically indexes the document in the system. This eliminates the need for time-consuming manual indexing of scanned documents, which has long been a point of pain for document management system users.
"Reynolds' document management system has helped our dealership increase productivity, cut costs and improve customer service," said Toni-Ann Baldassare, vice president and controller of Windsor/East Coast Automotive in Englewood Cliffs, N.J. "As soon as our associates started using it, the processing speed of our documents was greatly increased. We're looking forward to this even faster version (of DocVantage) as well as its new features."
